Forward Carers CIC Data Protection and Privacy Statement for Children and Young People

At Forward Carers, we want to make sure that you and your family understand how we use and protect your personal data when you use our services. It’s important to us that both children and parents know what happens with your information. This privacy statement explains everything clearly so you can make informed decisions about how we use and protect your data.

What is Personal Data?

Personal data is any information that can identify you, like your name, email address, or phone number and information about your caring role. We collect this information to help us provide services to you.

How We Use Your Data

We care about your privacy and protect your data carefully. Here’s how we use your information:

  • To help you: We use your data to provide the services you asked for, like helping with support for carers.
  • To keep you safe: We keep your data safe by using special tools like encryption to protect it from being misused.
  • To follow the law: Sometimes, we need to use your data to meet legal requirements (like when we need to share it with the government or a local authority).

When and How We Ask for Permission

If you’re under 13, we need your parent or guardian’s permission to collect and use your data. This is to make sure that your parents understand how your data is being used and can help protect your privacy.

If you’re between 13 – 18 years old, you can give your own permission to share your information with us. However, if we need to work with your school or social services, we will ask for your permission and, sometimes, your parents’ permission.

What Happens to Your Data

We don’t sell your data to anyone. However, we may need to share your data in certain cases:

  • With Delivery Partners who help us provide services to you.
  • With government or health services if the law requires it.
  • With third-party companies that help store or process your data securely.

We make sure that anyone who handles your data follows the law and keeps it safe.

The Risks of Sharing Your Data

We know that sharing personal information online or with others can be risky. We want to help you understand the risks:

  • Your personal information could be shared with others: When you share your data, there’s a chance it could be seen by people you didn’t intend.
  • People could misuse your data: For example, someone might pretend to be you online.

To keep you safe, we have strong security measures in place. For example, your data is encrypted (meaning it’s scrambled and hard to read) and only people who need it can access it.

What Rights Do You Have?

You have rights over your personal data:

  • You can ask for a copy of the data we have about you.
  • You can ask us to correct any mistakes in your data.
  • You can ask us to delete your data (unless we must keep it for a legal reason).
  • You can change your mind about giving us permission at any time.

If you or your parents have questions or want to exercise these rights, you can email us at info@forwardcarers.org.uk.

How We Protect Your Data

We use special technology to keep your data safe, like:

  • Encryption to make sure your data is unreadable by anyone who shouldn’t see it.
  • Access controls so only trusted people can access your information.
  • Staff training to make sure our team knows how to handle your data securely.

If there’s ever a problem or if your data is exposed to anyone who shouldn’t see it, we’ll let you know straight away.

What Happens If We Share Your Data Outside the UK/EU?

Right now, we don’t send your data outside the UK or Europe. If we ever do, we’ll make sure your data is safe by using the proper protections.

Cookies and Website Use

When you visit our website, we may collect information about how you use it, such as your IP address or what pages you visit. This helps us make the website better for you. You can choose to block cookies in your browser settings if you don’t want us to collect this information.

Your Parents’ or Guardians’ Rights

If you are under 13, your parent or guardian has the right to control what happens with your data. They can ask for a copy of your data or ask us to delete it at any time.

For Children and Parents Together:

We want to make sure both you and your parent or guardian understand how your personal data is used and kept safe. Here’s what we recommend:

  • Children (Under 13): We encourage you to talk to your parent or guardian about this policy so they can help you understand how your data is protected.
  • Young People (13-18): You can make decisions about your data, but it’s a good idea to talk to your parent or guardian if you’re unsure about anything

We will also remind you and your parent about privacy settings and data protection from time to time, so you stay informed.
